OM1 - Office Management Database Software

OM1 is a database driven integrated office management tool designed to efficiently control key aspects of most businesses but in particular Engineering and Drafting offices.

The program was developed by Pacific Computing in conjunction with BDS Steel Detailers who are one of the largest Structural Steel Detailing Drawing Offices in the world. The product is now sold throughout Australasia, UK and the USA. The program integrates with Tekla Structures to automate many of the traditionally mundane office management tasks

Automated Drawing Transmittal Creation

OM1 can produce Drawing Transmittals directly from Tekla Structures report files, or manually if needed. The user simply creates a new Transmittal document, selects the Tekla Structures report file containing all the drawings that are to be issued, and then creates the Transmittal. The transmittal can then be emailed to the client automatically in PDF format or can be printed as a hard copy and faxed or issued to the client.

Automated drawing register

When Drawing Transmittals are created, OM1 is automatically updating the drawing register. No longer do you need a junior to keep your drawing register up to date!

The drawing register also has the facility to input Engineering, Architectural and other drawings from associated disciplines either manually or using the import tool which can import drawings listed in a Microsoft Excel Spreadsheet.

Request for Information (RFI) Database

OM1 includes a database for all RFI's created per project. It tracks the date the RFI was created and sent and whether a reply has been received or not. 'Follow-up' RFI's can be generated if answers to the original question(s) are not complete. RFI's can be issued via Email either in the body of the email or as a PDF attachment, or they can be simply printed as a hard copy and faxed to the client.

Record of Communication Documents

When communicating with clients via telephone, it is sometimes necessary to track these conversations. OM1 includes a database for such conversations. Once again, these can be faxed or emailed to the client or simply kept as a record within the database.

Variation database including "Change Order" documents

All Variations can be tracked using OM1. Variations can be logged and an estimate of time inputted, and a Change Order Request (COR) generated, which can then be sent to the client. Once the Variation is in the database, all users can allocate time to that Variation. When the Variation is complete, the project manager then knows instantly how many hours have been spent on that Variation and can bill accordingly.

Timesheet Database

One of the key features of OM1 is it's Timesheet database. All employees can enter data into the system at any time simultaneously. The hours are booked directly against projects and if necessary particular areas of the project. The employees can have the program calculate the hours they work by just entering a start and end time, or they can input their own hours.

All timesheet data is live, meaning that reports can be run at anytime allowing office management to keep a close eye on production etc..

Bid (Quote) database

OM1 includes the ability for your company's Estimator to input data for all Bids or Quotes supplied to customers. These Bids can be linked directly to working projects, which allows the Estimator to track the projects to see how accurate the Bid and adjust future Bids if necessary.

Job Costing and Invoicing

A page has been developed for the Office Manager to track job costs and prepare the relevant invoices for the project.

The 'Costings' page tracks the Bid Price, the hours spent on the project so far, the amount invoiced to date and the amount left to be invoiced etc... as well as actually being able to create the Invoices which can then be forwarded to the client..

Reports

There are a wide range of reports available ranging from simple Time Sheet summaries through to detailed Project Accounting reports analyzing Productive and Non-Productive hours. If needed, custom reports can be developed for individual clients needs.

Like any database, once all the data has been inputted, anything can be extracted !
